State of Missouri is Hiring a Lead Administrative Support Assistant (4555075) Near Jefferson, MO

Job Location: This position will be located at 930 Wildwood Drive, Jefferson City, MO 65109.

You will be working in a team environment that maintains positive working relationships and conducts duties with courtesy and respect. Our Bureau’s work is meaningful, keeping people safe and healthy throughout Missouri. This position will support health inspectors across the state as they conduct inspections and investigations at food establishments and processors, lodging establishments, child care facilities, wastewater treatment installations, and other environmental health-related operations.   • Oversee office operations to the ensure effective and efficient clerical support to bureau management.
  • Supervise and provide support, technical assistance and oversight to (2) Administrative Support Assistants.
  • Coordinate and track multiple projects, including establishing and/or monitoring due dates.
  • Managing the flow of Fiscal Notes for the bureau, which include tracking and making sure deadlines are met.
  • Ability to multi-task, anticipate priorities and work independently.
  • Proof documents, letters, memos and bureau policies as well as track documents through the approval process.
  • Assist with business travel which includes, lodging, car reservations, conference registrations, etc.
  • Answer the main line and route to the appropriate program.
  • Schedule meetings and prepare applicable documents.
  • Attend bureau budget meetings and management meetings.
  • Oversee and maintain bureau supply inventory and storage areas.
  • Process expense reports, purchase requests, and manage fix asset inventory.
  • Support the confidential processing of personnel information.
  • Open and process daily mail and distribute to the appropriate person(s).
  • Will obtain and maintain Missouri Notary status.
  • Travel will be required with possible overnight stays and overtime.
  • Graduate with a High School Diploma or High School Equivalency.
  • Minimum 3 years relevant experience (substitutions allowed).
  • Good telephone skills and customer service.
  • Well organized and an ability to pay attention to detail.
  • Excellent skills with standard office software (Word, Excel, Powerpoint, Outlook, etc.) with the ability to learn specialized software systems.
